The Problem
The medical practice was tracking patient medication cycles manually — missing reminder windows, losing track of which patients were at which stage of their treatment, and handling appointment bookings through a disjointed mix of phone calls, emails, and GoHighLevel. Payment follow-ups for Stripe invoices were inconsistent.
The Solution
Built two interconnected automation systems in Google Sheets with Apps Script. The first handles patient medication cycle tracking with automated reminders at every treatment milestone. The second integrates GoHighLevel bookings with Stripe for automated invoice generation and payment follow-up sequences.
How It Works
Patient submits a form on the medical website → details logged in Google Sheets
Clinician qualifies the patient for medication → triggers the 4-month tracking cycle
Automated emails fire at each medication milestone — start, midpoint, renewal, and feedback
GoHighLevel bookings sync to Google Sheets via API integration
Stripe invoices are generated automatically via Zapier + Apps Script
If payment not received within 7 days → automated follow-up email sequence
Post-visit feedback emails sent automatically after each appointment
